Duties & Responsibilities: 

Manage all calls and internal/external customer interactions with influential players throughout the industry in a professional, confident manner.

Work closely with Chief of Staff to anticipate needs of the Chief Technology Officer (CTO) and operate at a rapid pace

Manage schedule inline with shifting priorities; coordinate with other Administrative Assistants to ensure appropriate executives are available for key meetings

Maintain and organize calendars. Staying up to date on candidates, topics and teammates that take precedent over calendar availability.

Protect the time of the CTO.

Provides administrative support to the office of the CTO in booking travel, electronic expense reports, and meeting scheduling

Track external meetings & external relationships

Assist in prioritizing each day with appropriate details/meetings/important tasks.

Preparing/Coordinating meeting materials, when needed, for VIP meetings; this also includes providing on-campus tours when required

Coordinate domestic and international travel and build organized, detailed trip itineraries.


Respond to sensitive and highly confidential information with absolute discretion and tact.

Receive and manage Information Technology, Connected Fitness, Corporate Real Estate, Ecommerce Technology invoices, get authorizations, insure proper GL coding and accruals.

Build and maintain relationships with internal and external partners.

-Flexible with change and able to shift gears quickly. Can provide examples of how she/he continually solves problems and re-prioritizes their day to keep with the demands of a fast paced, ever changing environment.
-Proven ability to be a gatekeeper for the Executive by providing excellent customer service skills to internal and external partners by using tact and good judgment.
-Serve as 411 vs. 911.
-Proven ability in keeping Executive focused and organized.
-Strong Communication skills.
-Able to express facts and ideas in writing in a clear, convincing and organized manner; listen effectively, and clarify information as needed.

Education And/or Experience
Bachelor’s degree OR 4+ years of Executive Assistant experience or similar work experience with a Bachelor’s degree.
